The instructor must initiate a Flex Plan in AIM to provide flexibility guidelines for students requesting accommodations of disability-related absences and flexible turn-in dates. There are four methods for initiating the Flex Plan that can help instructors with the consistent and efficient completion of the the Flex Plan across courses. 

Method 1: Individual Flex Plan Completion

This method is used for a single class that a student has requested flexibility accommodations for. 

  1. Navigate to the AIM Faculty portal Flex Plan
  2. Click View next to the plan you want to work on. 
  3. Complete the List of Questions for your course.
    • Required fields are marked with a red asterisks* but depending on the answer to a question additional responses may be necessary for other questions.
    • Default Answers can be added to required flexibility questions with the button at the bottom of the List of Questions page. 
  4. Upload a Syllabus for the course.
  5. If the plan should apply to all other sections that have the same subject/course number, select the checkbox "Apply to all classes with the same course subject and course number in the same term."
  6. Click Initiate and Request Review which will prompt EAS to review and finalize the Flex Plan.

Method 2: Bulk Flex Plan Completion

This method is used for a multiple classes that students have requested flexibility accommodations for and the flexibility availability is consistent across the courses. 

  1. Multiple courses can be completed in bulk by navigating to the AIM Faculty portal Flex Plan
  2. In the Step 1: Select Courses section, select the checkboxes for the requested plans to be completed (ex. all sections of BIOL 101). 
  3. In the Step 2: Select Available Options section, choose "Start A New Plan" from the dropdown list then click Specify Flex Plans for Multiple Courses.
  4. Complete the List of Questions for the courses. 
    • Required fields are marked with a red asterisks* but depending on the answer to a question additional responses may be necessary for other questions.
    • Default Answers can be added to required flexibility questions with the button at the bottom of the List of Questions page. 
  5. Click Initiate and Request Review which will prompt EAS to review and finalize the Flex Plans.

Method 3: Copy Flex Plan

This method is used to copy previously completed flex plans from one course to one or more other courses with or without adjustments. This can save time for similar courses but that have a few differences. 

  1.  Copy a completed Flex Plan by navigating to the AIM Faculty portal Flex Plan.
  2. In the Step 1: Select Courses section, choose which classes will be completed with this method. 
  3. In the Step 2: Select Available Options section, choose the plan that you want to copy to te new course(s) from the dropdown list. 
    • You will have the option to make any adjustments needed in the List of Questions.
  4. Click Initiate and Request Review which will prompt EAS to review and finalize the Flex Plan(s).

Method 4: Uninitiated Flex Plans

This method is for instructors wishing to complete a course Flex Plan ahead of student requests. 

  1. Navigate to the AIM Faculty portal Flex Plan
  2. Find the Courses without Requests box. Click the hyperlink number listed above the "Number of Plans Not Initiated."
  3. Click View for a plan. 
  4. Complete the List of Questions for the course
    • Required fields are marked with a red asterisks* but depending on the answer to a question additional responses may be necessary for other questions.
    • Default Answers can be added to required flexibility questions with the button at the bottom of the List of Questions page. 
    • These answers will be applied in the event of a student request and can be applied to other courses with the same subject/number. 
  5. Click Initiate and Review Request when finished. EAS staff will review and finalize the Flex Plan when a student request is initiated.
