Faculty Process for EAS Accommodated Testing
Faculty can follow this checklist when determining next steps for working with EAS to administer tests with accommodations for students with requested accommodations.-
Step 1) EAS Alternative Testing Agreement in AIM
Faculty can complete this agreement for all taught classes at the start of the semester via AIM. Faculty will be prompted to complete it when a student requests testing accommodations for a specific class as well.
-
Instructions for How to Complete the EAS Alternative Testing Agreement
-
Applying Accommodations for D2L Assessments: Faculty should make necessary adjustments to D2L assessments as students notify faculty of accommodation needs via the Faculty Accommodation Memo (FAM).
-
-
Step 2) List Exam Dates in AIM
Faculty will be prompted to complete this after doing the EAS Alternative Testing Agreement, but it can be returned to and adjusted at any point in the semester. This is how faculty communicate the length of the exam and when the students are expected to take the exam.
-
Step 3) STUDENT will Submit Exam Request
Students will submit an exam request if the student wants to take the exam in EAS with accommodations. If the exam is online and the student only has extended time the student do NOT have to submit a request, but faculty should have the extended time applied to the online platform. EAS will review the student's exam request.
-
Faculty will be notified by email when a student exam request is approved. Faculty can also check the AIM portal for requested exams from students.
-
Faculty should review exam request approvals for accurate details including date of exam, length of exam, etc. Faculty should notify EAS as soon as possible if errors or any examination disputes arise.
-
-
Step 4) Provide Exam & Specific Instructions
Faculty should provide all exams and instructions that differ from the EAS Alternative Testing Agreement by 4pm the day before a scheduled exam using one of the below options.
-
Option 1) Upload exams to AIM or the upload link provided in emails.
-
Option 2) Email exams and other instructions to [email protected]. Please do NOT share via SharePoint as this creates access problems for our staff.
-
Option 3) Deliver exams to Houston Hall room 108. Please include faculty name, course and section, and date of exam as well as any additional instructions for the exam when dropping it off.

Exam Delivery Policy for Instructor Pick Up
If the test is marked IP, the test must be picked up within 24 hours. If not picked up by the professor within this time frame the test will be scanned and emailed and filed. The professor will be notified that the exam has been scanned and emailed, but is available for a scheduled pick up.
Exam Delivery Policy for Delivery to Department
If the test is marked for in-person delivery, EAS will try to deliver the exam to the department admin within 24 hours of the test being completed. EAS will try twice to deliver the exam if the first attempt is unsuccessful. If the second attempt is also unsuccessful, we will scan and email the exam as default. The test will be filed and professor will be notified that they can come pick up the test from the EAS office.
Exam Delivery Policy for Scan & Email
If the exam is marked as scan and email on the testing agreement, we will honor that method of delivery. If a professor requests a hard copy of an exam as well, it will be on the professor to schedule a time to pick up the exam from the EAS office.
